Damage Management Policy

Car Rental – Damage Management Policy

At Reservationpath, we understand that most renters drive responsibly and that incidents are uncommon. However, if damage occurs to a rental vehicle, it is important to understand how such situations are handled.

This Damage Management Policy explains how damage-related charges may apply. For full and detailed information, please review our Terms & Conditions, which form part of your rental agreement.

Liability for Vehicle Damage

Your responsibility for damage to the rental vehicle depends on the type of protection or coverage selected at the time of booking.

  • In certain cases, you may have no financial liability.
  • In other situations, you may be partially responsible for the damage.
  • Coverage limits, exclusions, and excess amounts are detailed in our Terms & Conditions.

Types of Damage

Damage charges vary based on the nature and severity of the damage, including but not limited to:

  • Light Damage – Minor scratches, small dents, paint chips, or loss/damage of keys, accessories, or vehicle documents.
  • Tyre Replacement – Damage that requires one or more tyres to be replaced.
  • Serious Damage – Damage exceeding light damage or tyre replacement but not classified as a total loss.
  • Total Loss – When the vehicle is considered beyond repair or economically unfeasible to restore.

Damage Identified at Vehicle Return

When the vehicle is returned, it will be inspected, where possible, in your presence.

Light Damage

  • If minor damage is identified and acknowledged by signing the return report, an invoice will be issued.
  • Charges will include the Light Damage Administration Fee, as outlined in our Tariff Guide.

Serious Damage or Total Loss

If serious damage is identified or suspected, we will provide:

  • A detailed vehicle return statement
  • Photographic evidence of the damage
  • An invoice that may include:
  • o Applicable Administration Charges (Serious Damage, Tyre, or Windscreen)
  • o Engineer’s Assessment Fee (excluding tyre or windscreen-only damage)
  • o Loss of use charges for the period the vehicle is unavailable

Damage Identified After Rental Completion

If damage is discovered after the vehicle has been returned and you have left the location, we will provide:

  • A detailed return statement
  • Photographic documentation
  • An invoice including applicable Administration Charges, Engineer’s Fees (if relevant), and loss of use charges

Claims and Disputes

If you have questions or wish to dispute a damage charge:

  • You must contact us within 14 days of receiving the damage documentation.
  • If no response is received within this timeframe, we reserve the right to proceed with invoicing.
